Everything a paramedical studio needs. Nothing it doesn't.
Thirteen areas, from the first booking to the healed photo. Short version first; open "Everything in..." under each one for the full list.
The client picks the areas, sees the price, pays the deposit.
A booking page that prices the way you do. The client chooses the body areas or enters the scar length, sees the real price with your discounts and packages, picks a time you actually have, and pays the deposit with a card that stays on file.
What it does
- Real prices on the page: by body area with multi-area discounts, by the inch for scars, or a flat price, exactly as you set them
- Only times you can take: your hours, a buffer after each visit, your daily limit, and anything already busy in your Google or Outlook calendar
- The deposit and tax are charged in one step and the card is kept on file for the balance, the no-show fee, and the next visit
- Every email carries a manage link, so the client confirms, moves or cancels within your rules without calling you; a cancellation inside your free-cancel window refunds the deposit automatically
- Send a personal booking link for quoted work, with the price, deposit and length locked in and an expiry date, by text draft or email
Everything in online booking
- Your booking policies are ticked by the client and stored word for word with the appointment, as proof of what was agreed
- Automatic emails around every visit: pre-care with your PDF three days before (or at booking), then reminders at 48 hours, the day before and the morning of
- Treatments and consults each have their own booking window, notice period and policies
- Prepaid packages: a set of sessions at a discount, with an expiry, chosen by the client at booking
- A daily cap on treatment hours per practitioner, so the booking page never overfills a day
- Extra hours and time off added from the calendar and mirrored to Google or Outlook
- The chosen time is held for 15 minutes while the client fills in the form, so two people cannot book the same slot
- A booking that fails (a declined card, a slot taken) is kept on the client's record with the reason, so the lead is not lost
- Reschedule limits and cut-offs you set, plus a one-time exception link staff can send when you want to make an allowance
- A booking whose deposit failed is released automatically after the grace period you set, and the client is told
- Staff book from the calendar or from the client's record, with or without taking payment
- Booking links you text show a preview card with your logo
- Put the booking page on your own website with one line of code
- Links that pre-select a service, areas or a package, for your ads and your bio
Free or paid. Video or in person. Your call.
Consultations have their own page, their own hours and their own rules. The client says what they want to address, adds photos of the area, and picks a time. Video consults run in a private room you host from your phone.
What it does
- Offer a video call, an in-person visit, or both, and let the client choose
- Make the consult free, paid, or free with a card on file, so a no-show still costs something
- The client can add photos of the area when booking; they are stored privately and emailed to you with the booking
- A private video room with a waiting room: the client knocks, you admit them, nobody else can join
- Reminders before the call and two ready-made follow-up texts after it, in your words
Everything in consults and video
- "What would you like to address?": the client picks from your services or says "Not sure yet"
- What they picked becomes the client's interests and names the visit on your calendar and in your emails
- Consults have their own booking window and notice period, separate from treatments
- The client's video page opens 30 minutes before the call with a camera preview and a waiting state
- Your host room on a phone: a knock alert, admit or deny, flip the camera, picture in picture
- Prefer Google Meet or Teams? The link is created through your calendar instead
- Paste any meeting link onto a single appointment when you need to
- Monthly usage in view: calls and minutes
- Marking a consult complete tells your Meta ads a consult was attended
Your cancellation policy, enforced by software.
The deposit is charged at booking and the card stays on file. Inside your free-cancel window the client gets it back automatically. Outside it, you keep it. A no-show charges the fee the client agreed to. Every dollar after that is recorded against the client, the session and the body area.
What it does
- Set the deposit per service: a flat amount, an amount per area, or a percentage, with a cap
- A free-cancel window you choose; cancellations inside it are refunded without you lifting a finger
- A no-show fee as a percentage of the session, charged to the card on file, under the terms the client ticked at booking
- Every deposit is tracked from held, to applied to a session, to kept or refunded, visible on the client's record
- Limits on how often and how late a client can reschedule; the client is told the rule, not just refused
Everything in deposits and payments
- Receipts itemized by body area, with discounts and tax, emailed with a PDF in one click
- Square pay links the client pays from a text or an email, and in-person charges through the Square Point of Sale app on your phone
- Cash, Zelle, Venmo, check and financing recorded by hand, with a switch for amounts that already include tax
- Charge the card on file for any amount, with a reason on the record
- Refunds with a reason; refunds through Square or Stripe return the tax too
- An open balances report showing every client who still owes money, with a one-click settle
- The no-show authorization the client ticks is written from your rules, with the actual amount
- Each booking keeps the no-show rate the client agreed to, even if you change the rate later
- When staff cancel, a money preview first: refund, keep the deposit, or a custom fee
- When staff mark a no-show, a preview shows the fee, the deposit kept and what will be charged to the card
- Undo a no-show without triggering a refund by accident
- A declined card flags the booking and emails you
- Free-with-card consults have their own flat no-show fee
- Rescheduling carries the deposit over to the new date
Health answers that flag themselves.
Build the consent and health-history form once, with your questions. The client signs on your phone, at the desk or from a link. Any answer you marked as a concern shows red on their record, and you get an email the moment the form is signed, with the flags listed.
What it does
- Yes/No health questions with a follow-up ("if yes, tell us more"), so the detail is there before the visit
- Three ways to sign: hand over your phone (the app locks until you unlock it), sign at the desk, or send a link
- Every signature becomes a PDF with every answer, the time, the IP address and the exact version of the form, and it never changes
- Starter forms ready on day one for pigment camouflage, inkless revision and combined work, plus a photo and media release
- Lead forms for your website with photo upload, built the same way, so an enquiry arrives as a client record with a task
Everything in consent forms
- Building blocks: Yes/No, short and long answers, multiple choice, acknowledgment, date, email, headings, legal text, notes, photo authorization and signature
- Name, email, phone and date of birth pre-filled from the record
- Every save is a new version of the form; copies already signed never change
- One emailed link walks the client through several forms in a row
- The consent link in an email picks the right form for the client's next treatment by itself
- The signed PDF carries your brand color, with the flagged answers in red
- On the record: a green tick per signed form, a red line per concern, "View answers" and "Open PDF"
- The photo-authorization answer sets a "Marketing photos OK" badge on the client
- A treatment cannot be logged until you have reviewed and approved its consent form
- Lead forms: on or off, your headline and button, an auto-reply, a task for you, the photos saved to the record
Every client on one board. Everything about them on one page.
Your home screen is a pipeline board: a column for each stage, a card for each client, today's visits across the top. Open a card and everything is there: contact details, consent, the treatment plan, money, photos and every email, in one timeline. Next to it, the week calendar with each practitioner in their own color.
What it does
- Name your own stages; clients move forward on their own when they book a consult or a session
- Every card shows the next thing to do, and turns red when it is overdue
- One timeline per client: emails sent and received, sessions, payments, notes, files and signed forms, newest first
- A week calendar with each practitioner's color, time off and extra hours, outside events from your own calendar, and booking straight into a gap
- Two-way sync with Google Calendar and Outlook for each practitioner: visits go out, busy time comes in, and a change made in the calendar changes the booking
Everything in records and calendar
- A read-only calendar feed for each practitioner, for Apple Calendar or any app that subscribes to a link
- Google Contacts: every client with a phone number becomes a contact in your phone, so you see who is calling
- Tasks with due dates, notes, follow-up texts and email sequences, all started from the record
- Bring your clients in from a CSV file or from Square; duplicates are found and merged with a preview
- Search by name, any email or any phone number from the top bar
- Up to five extra emails and phone numbers per client
- Where the client came from: channel, campaign and first source, captured once and never overwritten
- Lost clients leave the board with a reason and come back by themselves when they rebook
- A bouncing email address is flagged, with a ready text asking for a new one
- The duplicate finder matches on email, phone, name and nicknames
- A merge keeps everything from both records: emails, sessions, photos, payments and forms
- Deleting a client removes every file as well, and the deletion is logged
- Test clients are kept out of every report
- Notes up to 5,000 characters; tasks with a date and time
- A per-client log of the last 50 sensitive actions
- Installs on your phone like an app, with a dark mode
One line per body area. One minute to log a session.
The treatment plan lists each body area with the sessions planned and the price per session. Logging a session records what you did, what was paid and the photos, and moves the plan forward, so you always know which session each area is on and what is still owed.
What it does
- Each area is logged as paid now, owed, from a package or complimentary, with a discount and its reason if you gave one
- Ink colors, voltage, needle and notes saved per area, so the next session starts from what worked
- Before, during and after photos taken on your phone, compressed on the phone, HEIC included
- A before-and-after comparison in one view
- Photos stored privately under random names, opened only through 30-minute links by your own team, with every view logged
Everything in plans, sessions and photos
- Plan lines are created automatically from the areas in a booking
- Prepaid package sessions count down as sessions are logged
- Apply a held deposit to the session as you log it
- Session status: completed, scheduled, cancelled or no-show
- Edit or delete a session; the payments stay on the books
- A photos-and-files grid on the record and a full-screen viewer that loads the original behind the preview
- Attach any file to a client, up to 25 MB each
- Photos the client uploads from the portal land on the record, in your inbox and as a note on the next calendar event
- Every file is backed up nightly to a separate store
A quote in one click, from the plan.
Pick the plan lines and Skintilo builds a branded PDF: the price per session, how many sessions to expect, the range for the whole plan and a monthly financing figure. Send it from the record and it shows up on the client's timeline.
What it does
- Three PDF layouts with your logo, your contact details and your disclaimer
- Each line shows the list price, the discount and the reason for it, so nothing looks arbitrary
- A financing line with your provider, the months and an apply link
- Resend, revise or rebuild the quote as the plan changes; every version is kept
- A public "Get a quote" form with photo upload that creates the lead and a task for you to reply
Everything in quotes and pricing
- Three ways to price a service: by body area with discount tiers and a cap; by the inch with width tiers, rounding, a minimum and a cap per scar; or a flat price
- A deposit rule and a prepaid package for each service
- One pricing engine behind the booking page, the website calculator, the public price list and every quote, so the numbers always agree
- Sales tax at one rate with your label, added on top of every payment and never on tips or refunds
- Live prices on your own website through the public price list
- Quote numbers like Q-20261014-AR, a valid-until date, and a draft-to-sent status
- Quote PDFs are private, and every opening is logged
- Sell a package from the record: the charge and the session credits in one step
Every message in your words. Texts from your own phone.
Forty-plus emails cover booking, reminders, care, money and the portal, and every one of them is yours to edit, switch off or attach a PDF to. Texts are written for you and sent from your own phone in one tap, so clients always hear from a number they know.
What it does
- Confirmations, reminders, pre-care, aftercare, healing check-ins, receipts, quotes and portal messages, each sent at the right moment without you doing anything
- Edit any email with a live preview that uses a real client's details, so you see exactly what they will get
- Sequences: a series of emails that starts when a client enters a stage or after a session, with the delays you choose
- Today's reminder texts, written and ready: one tap sends each from Messages on your iPhone or Mac
- You are emailed for every booking, cancellation, signed form, portal message and failed charge, so nothing waits for you to look
Everything in emails and texts
- Opens and clicks on every email, shown on the timeline; bounced addresses caught and flagged
- Emails arrive from your studio's name, and replies come to your own inbox
- Merge fields for names, dates, links and balances, with your own wording for any link
- Write a one-off email from the record: pick a template, attach up to ten files or the quote, schedule it for later, or reply in the thread
- Marketing sequences carry an unsubscribe link; confirmations, reminders and receipts always send
- Nothing is sent to a bouncing address or to a client who opted out
- Follow-up texts after a consult, in your words, logged when you send them
- Email forwarding: forward a copy of your inbox to a private Skintilo address and every email from a known client lands on their record; everything else is dropped without being stored. Reply from the record.
Aftercare when you log the session. Check-ins on day 3, 14 and 42. Photos on day 5, 14 and 28.
Log the session and the weeks that follow are scheduled for you. Aftercare with your PDF goes out when you log it. Check-ins ask how the client is healing, ask for a photo, and invite them to book the next visit.
What it does
- Aftercare that matches the treatment: pigment, inkless or combined, sent when you log the session
- Photo requests by email on the days you choose, with a reminder 48 hours later if nothing arrived
- The client uploads from their phone; the photos land on their record and in your inbox
- Every step is yours to change: the day it sends, the subject, the words
- Nothing goes to clients you have marked lost or clients without an email
Everything in healing follow-up
- Pre-care sent a set number of hours before a treatment, or the moment it is booked
- Aftercare goes only when the session is logged within 24 hours of being done, so a late entry never sends stale advice
- Sequences start when a client enters a stage, after a session, or when a client is created
- Up to 20 steps in a sequence, from the same day to a year later
- Each photo request is labelled with its milestone, like "5 days after 3rd session"
- A photo upload writes a note, posts in the portal thread and adds a note to your calendar event
- Requests are cancelled if a session is changed from completed
Their own page, in your colors.
Every client gets a sign-in of their own: upcoming visits, your messages, the photos you asked for, and a button to request their next session. It installs on their home screen like an app, with your name, logo and color.
What it does
- Upcoming visits with the link to confirm, move or cancel, and the video link when there is one
- A message thread with your studio; a client's message reaches you by email and your reply reaches them
- "Photos due" cards for the healing photos you asked for, uploaded straight from the camera roll
- A request for the next session, with a preferred date and a note, that lands on your board as a task
- Installs on their phone as an app, with your logo and brand color
Everything in the client portal
- Copy a sign-up link from the client's record and send it however you like
- Unread messages from the client show on their card on the board
- Uploaded photos are grouped by milestone, and the client can delete their own uploads
- Session requests are marked handled from the record once booked
- Password reset emails go out in your studio's name
- An offline page when installed and the connection drops
A website that reads your settings. A first draft, written for you.
Answer 17 short questions, pick one of three looks, and Skintilo writes a first draft of your site. Prices, hours, staff and policies come straight from your settings, so when you change a price the site changes with it. Your own domain is included.
What it does
- Three complete looks, Clinic, Editorial and Atelier, each in your color, each previewed with your own content before you choose
- A first draft written from your answers, with guardrails: no medical claims, no promised results, no invented prices
- A pricing page with the live price calculator, and the booking, consult and quote pages inside the site's own look
- A gallery of photos you have consent for, real reviews only, an FAQ, your team and a map
- Your own domain, included; add two records at your registrar and the Skintilo team connects it within a business day
Everything in the website
- Pages: Home, About, Services and Pricing, Gallery, Contact and Policies
- Work on a draft, preview it, publish it, take it offline or discard the draft
- Tap any block in the preview to edit it; changes save as you type
- Rewrite any field with AI: warmer, shorter, more clinical, or your own instruction
- A video block for YouTube, Vimeo or Instagram, and custom HTML
- Terms and privacy pages from templates, reviewed by you before the site can publish
- Search-friendly out of the box: titles, descriptions, a sitemap and structured data for Google
- Google Analytics, the Google Ads tag and the Meta Pixel
- Already have a site? Put the booking, consult, quote and lead forms on it with one line of code
- "Build it for me": send your photos and answers and the Skintilo team writes the draft in your account
Which ad brought which client. And whether they showed up.
Every client carries the source they first came from. Reports turn that into what each channel costs you per lead and per paying client, next to revenue, deposits and no-shows, for any date range.
What it does
- A weekly pulse: revenue collected, new paying clients, consult-to-paying rate and no-shows, each compared with the previous period and a four-week average
- Marketing return by channel: what you spent, the leads, how many paid, and the revenue
- No-shows by source, by how far ahead they booked, and by hour of day, so you can see the pattern
- Your Meta ads learn who booked a consult, who attended, who paid a deposit and who asked for a quote, through the Pixel and server-side events
- An open balances report with every client who still owes money and a one-click settle
Everything in reports and ads
- Source quality: for each channel, how many leads booked a consult, attended, were quoted, paid, and came for a first session
- Revenue by source, and when consults get booked, by day and hour
- Deposits collected, refunded and kept
- Sales tax collected, shown separately from revenue
- Campaign tags and ad click IDs captured on the booking, consult, quote and lead forms
- When booking is embedded on your own site, a conversion signal reaches your own Google and Meta tags too
- Test payments never mix with real figures
Solo today, a team tomorrow. Your data stays yours.
Invite teammates with a role, give each practitioner their own hours and calendar, and sign in with Face ID. Everything sensitive is logged, your clients' data is walled off from every other studio, and you can export all of it any time.
What it does
- Owner, manager and staff roles, so the front desk sees what it needs and settings stay with you; each extra teammate is $39 a month
- Each practitioner has their own hours, services, color and calendar connection
- Sign in with two-factor authentication, a passkey or Face ID
- An audit log of every login, payment, photo view and deletion, with who and when, that nobody can edit
- Export everything as a zip whenever you like: every record, photo, signed PDF and quote
Everything in team and security
- Invites by email, valid for 7 days; the last owner can never be removed by mistake
- Google and Outlook calendar for each practitioner, and a read-only feed for Apple Calendar
- Google Contacts, one way, so your phone shows the client's name when they call
- Square or Stripe on your own account; the keys are stored encrypted and never shown
- Each studio's data is walled off at the database level
- Every photo and PDF is served through a short-lived link, never a public address
- Public forms are protected against bots, and an email address is checked before a client is created
- The export works even while your subscription is paused
- The audit log cannot be edited or deleted
- Every file is backed up nightly
